The flexibility of FOOD-TRAK allows you to take an inventory form and turn it into any type of inventory you'd like. To create a New Inventory, select Data Entry, then Inventory Entry Form. Select the Create tab on the form selection screen.
Before starting an inventory you will be asked to choose an inventory template. System generated templates are available at the top of the list, while existing inventory templates are available immediately below on the list.
Here is the list of available system templates, their corresponding icons, and a brief description:
Site-Wide Full – Includes all items in all locations and all Profit Centers. A zero inventory value is assumed for any item not counted.
Site-Wide Partial – Inventory form will include all items inventoried in your site. No value will be assigned to items not counted. Instead, the perpetual inventory engine will calculate an inventory value for that item when viewed on reports based on a previous physical inventory value and any purchases, sales, transfers or shippers occurring for the item.
Profit Center Full – Includes all items in all locations within a single Profit Center. A zero inventory value is assumed for any item not counted.
Profit Center Partial – Includes all items in all locations within a single Profit Center. No value will be assigned to items not counted. Instead, the perpetual inventory engine will calculate an inventory value for that item when viewed on reports based on a previous physical inventory value and any purchases, sales, transfers or shippers occurring for the item.
Miscellaneous Full – Includes all items in selected locations in any Profit Center. A zero inventory value is assumed for any item not counted.
Miscellaneous Partial – Includes all items in selected locations in any Profit Center. . No value will be assigned to items not counted. Instead, the perpetual inventory engine will calculate an inventory value for that item when viewed on reports based on a previous physical inventory value and any purchases, sales, transfers or shippers occurring for the item.
Blank, No Items – Inventory form will be blank and items will need to be manually added within each location. This template is often used with FOOD-TRAK® Mobile Partner when items’ barcodes are being scanned and added to a form on the fly. This inventory can either be a full or partial.
Key Item – Inventory form contains only items that have been flagged as Key items in Item Editor. This form cannot be a full inventory form.
Select a template by clicking on the template's name .Depending on which Inventory Template you choose, the header might look slightly different. First, select the Profit Center you'd like to inventory, this selection is disabled on a Site-wide inventory. Next, select the Sort Order you'd like the items to appear in. Enter in the Date and Time of Inventory, give this inventory a Description, and specify who it was Counted By. A space is available for additional comments if desired.
Two check boxes are available. One specifies that this inventory is a Full Inventory. If an item is on your inventory form, but no count is entered for that item, FOOD-TRAK will assume that item has a zero count. If your site has fiscal periods assigned, the option to make this inventory a Period End Inventory will be available. When selected, the pull-down box next to the Period End selection box will be available.
The bottom of the header shows which locations will be included in this inventory form. You can select or de-select any locations you desire. This will eliminate this location from the inventory form and all items in the inventory form once you click the Details tab at the top of the screen. This tells the form to queue the items as selected on the form. If the form is Paused or Completed before the Details tab is clicked, those items will not be included on the form.
Once the Header is complete, click the Details tab.
The Details tab will show a brief description of the inventory at the top and the first 25 items in that location. This particular form has 86 items, and you can scroll ahead using the double arrow icon at the bottom of the screen. Double-click the item you'd like to count.
The bottom section of the screen will display the inventory information for that item. Enter in the Quantity, update the Units if necessary, and add Notes if needed. Once completed click Update to add amount to your inventory form. Then you can click Next or Back to move to the next item. You can also Insert or Remove items as necessary.
Once completed with the inventory, click Complete at the top of the screen. The Pause option will pause the inventory, allowing you to return to it at a later time to complete it.
Once completed, the system will advise the estimated value per location, and any critical issues or warnings in regards to the inventory you should be aware of. Click Complete to return to the Inventory menu.
You many choose to close the form by clicking on the Close button.
Edit an Existing Inventory Form
If a change needs to be made to an existing inventory form, go to Data Entry, then Inventory Entry Form. Select the Edit tab on the form selection screen.
The existing inventories are listed in order. If you have numerous inventories, the Filter feature available in the column can be used to search for the particular one you are looking for.
Open the inventory by clicking on the inventory date and time located in the left hand column.
Once the form is open, make your necessary changes to the form and Pause or Complete as necessary.
