Internal Transfer

Additional features are available on the Internal Transfer Entry Form when Advanced Procurement is allocated to a Site.

Internal Transfer Entry Forms created from Internal Requisition include additional columns of information for each item on the Form Detail List.  The column headers are labeled Requested, Unit, Sent and Unit.  The Requested column displays the quantity of the item requested on the original Internal Requisition. The Sent column displays the sum of the quantities that have already been transferred to fill the original requested amount on the Internal Requisition. If transfers for the item are sent in different units, the system will convert the sum of the sent amounts to the unit on the original request and display it on the transfer form. Items that are added to the transfer form display a requested and sent quantity of zero.

All the items from a selected Internal Requisition appear on the Internal Transfer form, regardless of fill status.  The quantity field in the Edit Window displays the amount left to complete the order.  An item that has been completely filled shows a  zero in the quantity field.  

You have the ability to ”fill or kill” a request by placing a check in the box labeled "Ship Complete". Ship Complete items are considered filled regardless of the quantity actually sent to the Outlet. This feature can be used to partially-fill items. It can also be used for items that will not be sent by entering a zero in the quantity field.  

 

Additionally, in a system with the Advanced Procurement module allocated, if the Pick List feature is used from the Create tab of Internal Transfer form to create multiple transfer forms the 'fill or kill' option is available as well.  The user may click a check box for Ship Complete prior to accepting all of the transfers the Pick List tool creates. By choosing Ship Complete all transfers will effectively fill the appropriate requisition forms even if all of the requested item quantities were not transferred.

Internal Transfer forms created to fill Internal Requisition are ”linked” to the Internal Requisition. This is necessary to track and identify when a requested item has been delivered. This information can be viewed on the Requisition Status report.

The traditional Internal Transfer Entry Form is used when the form is not associated with an Internal Requisition.
