Vendor Bid Portal

A Vendor Bid Portal is available with the Advanced Procurement Module and Vendor Bidding Module. The portal offers a secure page that allows external vendors with privileges to submit bids.  Bids may be submitted by entering them on an on-line form or importing them from an Excel spreadsheet. The portal also provides a place where a vendor can view active bids that their company has submitted.   

Another important function the portal offers is a method of communication for the Purchasing Manager and external vendors. An external vendor may use the "Contact Us" feature on the portal page to send e-mail to the Purchasing Manager (or designated contact). The Purchasing Manager may also post messages for an external vendor that is displayed on the portal.

Setup and Configuration

A user name and password must be created in the FOOD-TRAK User Manager for the vendor to gain access to the portal. The new user must be a member of the ”Bidding Vendor” User Group and have access to the site they will submit bids for. Lastly, the user must be designated as the  ”qualified user" to enter bids remotely for specific Vendor” on the Remote Access tab of the Vendor Editor.

The vendor may access the portal by opening a browser window, entering the appropriate internet address and entering their user credentials on the login page. Once they successfully login they are placed on the portal page.
