Purchase Location By Profit Center

Sometimes you will not need or desire to specify the exact location of transfers, deliveries, etc., and it would suffice to name the Profit Center in general as the delivery point. FOOD-TRAK® offers you the option of assigning either a Profit Center or an Inventory Location within that Profit Center as the default delivery location for goods (purchased or transferred). In such a case, deliveries made to the Profit Center automatically are assigned to the default location. When opening an Internal Transfer or Requisition form and specifying that the transaction has come from a certain Profit Center, the default location will be displayed on the Details tab of that form.

FOOD-TRAK® allows the designation of a single Purchase Location within each Profit Center that you have access to. To do this, click the folder with the green check mark icon in the Item Editor's Purchasing Information section next to the Purchase Location field.

On the Profit Center Purchase Locations page that appears, the Profit Centers are displayed using the house icon, while the various Inventory Locations (which are assigned to a Profit Center using the Inventory Location Group Editor) are displayed using the familiar folder icon.

To select a default Purchase Location for a particular Profit Center, click the desired Location and then click Set. When finished designating default Purchase Locations (one for each Profit Center), click OK.

The behavior of these settings will appear on Invoices and Purchase Order forms created for specific Profit Centers.

Using the site-wide purchase location scenario: An invoice is entered for <All Profit Centers>, the purchase location for each line item on the Details tab of the invoice form will default to the site-wide purchase location for the item which is the location set using the drop-down arrow next to Purchase Location at the top of  the Purchasing Information section of Item Editor.

Profit Center purchase location scenario:  An invoice is entered for a specific Profit Center, such as Banquets, because all of the items on the invoice are being purchased for a particular event and upon receipt they are being stored immediately in Banquet storage locations in lieu of a central storage / Warehouse location first and then transferred to the banquet locations.

The purchase location for each line item on the Details tab of the invoice will reflect whatever Banquet location was set for each item in the Profit Center Purchase Locations window.

Item is Taxable in this Profit Center

This checkbox indicates the purchased item is flagged as taxable when an Invoice form for the Profit Center is created. On the Profit Center Invoice, you may enter a dollar value for Sales Tax Charges in that field on the Header.  Then click the button to Spread Sales Tax only to Taxable Items.  The tax dollars are spread only to those items flagged as taxable in the Profit Center.

Direct Charge By Item Within Profit Center

The Direct Charge function allows items requisitioned from another profit or cost center or from the purchaser to be charged to the profit center account immediately upon receipt, instead of to the account associated with the entity ordering  the item.  The system also provides the ability using the check box provided on this screen to specify individual items to be directly charged as opposed to all items requisitioned by the profit center.  For example, an outlet might requisition produce from the warehouse along with dry goods.  Since the warehouse does not inventory produce, it could be directly charged to the profit center upon arrival at the warehouse dock.  In this way, dry goods would be transferred to the profit center when sent by the warehouse, while produce would automatically be charged there upon receipt from the vendor at the warehouse.
 

Delivery Location Editor

Items can be delivered to any address.  Use the folder next to the delivery location field to open the Edit Delivery Location window.  Simply enter a name and address for the delivery location.  This address will appear on the Purchase Order as the Ship To address.  Different items within a profit center can be delivered to different locations.  For example, most goods might be delivered to the warehouse, but liquor items may need to be directly delivered to the profit center.
