Items - Unit Section

The Units Tab contains the list of unit sizes selected for the item as well as the relationships between those units. This relationship is called the conversion factor. In addition, the Units Tab can be used to add new units to the system’s units list as well as to establish default relationships between system units.

Cost

This field shows how much you pay for an item. FOOD-TRAK automatically updates this field each time you enter an invoice. It is recommended that you enter a cost, based on how much you pay for one each of the assigned purchase unit, when an item is created. The cost field will remain enabled and allow you to enter or change the cost of an item until the item is tied to transactional activity. Once this happens the cost field will become disabled.

Adding/Editing a Unit

In Available Units, FOOD-TRAK has listed a number of unit sizes and packaging standards; however there will always be that one size that is not listed. Luckily you can enter that size yourself and after entering the proper conversion factors use it as you would any of the other listed unit sizes.

If the unit size you require is not available on thavae list, click the Edit/Add Unit button that appears below the Available Units list. You can then use the Edit Units window to change an existing unit or add a new one.

--Best practice for adding new units is to be as specific as possible regarding the quantity of the pack size.  e.g. Instead of case use 24 ct case or case 24 ct or 24/12oz to reflect a 24 count case of beer bottles.

Add a Unit

When a suitable unit size cannot be found for a particular item, FOOD-TRAK allows the addition a new unit size. One may give the unit a unique name and provide conversion factors to give the new unit size pre-defined values.  

--Best practice is to only add a new unit only after an exhaustive search through the available units to verify there is not a unit already there which might be named differently than one might think.  Use of the wildcard search character (*) is a good idea here.

To create a new unit size,

1.     In the Item Editor Unit Information section, click Edit/Add Unit.

2.     When the Edit Units window appears, click Add New Unit. The Add New Unit frame is enabled on the right side of the window.

In the Long Name field, enter a name for the new unit up to 20 characters in length. The new name must be unique. FOOD-TRAK will not let you enter a name that exactly matches another unit name already on the list.

In Short Name, enter a shortened version of the Long Name up to 6 characters in length. This name must also be unique. FOOD-TRAK will not let you enter a duplicate name in this field.

3.     When finished entering the unit size, add the new name to your Available list by clicking OK.

Using this method, add as many new unit sizes as desired. To leave the Edit Units window and return to the Item Editor Units tab, click Done.
