Waste Form
The Waste form is a specialized type of transfer form used to track items that are discarded. The system has separate reports available for the purpose of tracking waste in an operation.
Entering raw materials or finished goods waste will allow you to see the effect of waste on gross variances[which is the difference between actual and ideal usage].
Waste can be damaged goods, improperly prepared products, spoilage or customer returns.
Waste templates may be created for items you may frequently dispose of. For example, you may dispose of expired products that have not been used as you would have suspected or highly perishable items such as shrimp or clams.
The Waste Forms view displays existing forms. Paused waste forms are designated by a stop sign. A hand writing on a notepad icon designates completed Waste Forms.
The Filter option provides check boxes to display paused items and/or completed items. The Filter also gives the user the ability to display forms which fall between a range of dates or contain a specified waste form ID number.
Creating a Waste Form
To create a Waste Form, select the system generated (Blank Waste) form or a previously stored template from the Waste Templates view of the Waste Form Selection page.
Header
The Header tab contains fields for selecting the Profit Center (or All Profit Centers), entering the date and time, reference, personnel and comments. The Waste ID number is populated upon saving, pausing or completing the form, it is system-assigned and cannot be modified.
Details
The Details tab contains fields for name, quantity, unit, cost, extension and notes (cost and extension fields can be modified with the appropriate security permissions).
The cost of an item is determined by the current cost in the system at the time of the creation of the waste form. In addition, each item contains a From Location field for indicating which inventory location the item is being wasted from.
The From Location field defaults to the assigned purchase location for the Profit Center selected on the Header, however, goods may be wasted from any of the
inventory locations if your user has permissions to all Profit Centers.
Items can be searched for and entered on a Waste form by name, abbreviation, reference, bar code, or report group. The search frame may be enabled by clicking the link at the top of the form entitled 'Click Here to Insert an Item to the Beginning of the Form'; or select any current item on the form to display it at the bottom of the screen, click the' Insert' button to search for an item to enter below the selected item.
Once the item has been identified it will appear at the bottom of the window, the system will wait for a quantity to be entered. This quantity should correspond to the unit shown, however, the user may select any unit associated with the item in question. The desired unit can be selected from the drop down list if it is not already the default unit in place.
A Notes field is also available to perhaps record the reason that this particular unit is being wasted.
When the information for an item has been entered in the bottom data entry frame, click the Update button or press Enter to add that item to the form.
Click the Pause button to save and close the form but plans are to open the form to continue editing later to complete it.
When the Waste form is completed by clicking through the Complete 1 of 2 and Complete 2 of 2 buttons, the goods being transferred are deducted from the designated Inventory location and added to waste.
However, their dollar values remain included in Cost of Goods.
