A Shopping List is essentially the same as a grocery list. It includes all items that need to be ordered, regardless of vendor. In a streamlined purchasing operation, users create a Shopping List on a daily basis.
FOOD-TRAK can then convert the Shopping List into Purchase Orders, which are then transmitted to the vendor (or vendors) and provided to receiving personnel.
Purchase Orders are in turn automatically converted into Invoices upon arrival and check-in of the goods.
Shopping List entry can be additionally streamlined through the use of templates or they may be created by considering outstanding requisitions and affiliate order forms and ordering to desired par level. . These templates are generally created for each day of the week with the anticipated list of goods ordered on those days and the anticipated quantities normally required. The Shopping List Form Selection page will also list Shopping Lists which have been created by Reorder reports or imported from the FOOD-TRAK Inventory Partner.
Select the desired Shopping List from the Shopping List Form Selection page or select the system supplied (Blank List).
Potential ordering issue items
A Shopping List form which contains
line items where the quantity is not a whole number associated with the
requested unit will display in orange text color indicating to the user
that there could be an issue as these items are placed on a Purchase Order
form later on with the selected vendor’s designated ordering unit.
Header Tab
Provide a Shopping List number or name on the Header tab if one does not already exist.
The Prepared Date defaults to today's date. You may change this if necessary.
In the Est. Receive Date you should place the date that you expect the goods to be delivered.
Optional Ordered By and Ordered For fields allow you to note the persons involved in producing the shopping list. There is the additional Comment field for any notes you may want to make.
Items Tab
The Items tab contains fields for the item Name, Quantity, Unit size and Notes.
You can move from one field to another by pressing TAB. You can change the Quantity by clicking on the item on the form and entering the correct quantity on the Edit window at the bottom of the form. If necessary, select another Unit Size from the drop-down list of those available.
Finding on-hand amounts of an item
To find out how much of an item you have on hand, select the line item and then click the yellow clock icon. The estimated on-hand amount of that item then appears.

When you have finished working on the form, save, complete or pause it to save your changes.
