An Excel Bid Sheet that has been exported from the FOOD-TRAK application can be imported as a paused Bid Sheet Form. The function can be accessed from the Procurement folder on the Data Entry menu. The function allows you to browse available directories for the Excel file that you want to import. Only spreadsheets that have been exported from the FOOD-TRAK application may be imported using the feature.
Imported bids are created in a "paused" state. Paused bids need to be completed to make them active in the system.
Bids imported without a valid end date are paused and set to expire at the end of the day that they are imported.
A system alert is created when an excel bid sheet is imported. The message includes the bid sheet form identifier, the start and end date, the number of items that were imported, the items that were not imported listed with name and reason they were not imported. If the bid sheet is not imported the reason is noted in the alert.
Bid sheets that are imported into the FOOD-TRAK application are restricted from being changed. The only modifications allowed after a bid sheet has been paused or completed include changing the start/end date, removing a line-item, adding a line-item, deleting the bid sheet and completing the bid sheet.
